We are currently looking for a highly organized and proactive Senior Legal Administrator to provide high-quality secretarial and administrative support to the Legal and Company Secretarial Department. Based in our head office, you will work closely with the General Counsel, Legal Counsels and Senior Management to ensure the efficient and effective operation of the department.
Responsibilities:
Provide comprehensive secretarial and administrative support to the Legal and Company Secretarial Department;
Handle and coordinate incoming and outgoing correspondence including maintaining accurate filing systems and document records, whether electronic or hard copies;
Manage calendars, arrange for meetings and appointments, coordinate travel arrangements and managing and monitor deadlines;
Assist in preparing, editing, formatting, proofreading and administration of general legal documents, contracts, reports, presentations and correspondence;
Support the administration of contract and legal document management systems, including document tracking and archiving;
Coordinate the execution of legal documents and maintain execution records;
Assist with company secretarial matters, including maintaining statutory records and supporting corporate filings where required;
Prepare meeting materials, board papers, agendas and minutes as required;
Liaising with internal stakeholders, external legal advisers, regulators and other third parties on administrative matters;
Assist with departmental reporting, budgeting and invoice processing; and
Assist in ad-hoc assignments and tasks where necessary.
Requirements:
Diploma or above in secretarial studies, business administration, legal studies or a related discipline;
At least 5-8 years’ experience or knowledge of working within a legal team, whether in-house legal department or law firm;
Familiarity with legal terminology, legal documentation and document management processes;
Solid proficiency in all MS office applications, including Word, Excel and PowerPoint, and Chinese Word Processing;
Excellent communication skills in English and Cantonese;
Strong organizational, time management and multitasking skills, with the ability to manage competing priorities and deadlines;
Meticulous attention to detail and a high level of accuracy;
Proactive, responsible and able to work independently with minimal supervision;
Strong interpersonal and communication skills, with the ability to work effectively with stakeholders at all levels; and
A team player with a positive attitude and a strong commitment to maintaining confidentiality.
